Association Management Software for Complex Dues Structures

Your membership dues aren't one-size-fits-all. Neither is i4a. Handle tiered pricing, formula-based calculations, proration, multi-year rates, and more without spreadsheets or manual workarounds.

The Spreadsheet Problem

When Simple Dues Software Falls Short

Many associations outgrow basic membership software that only handles flat-rate dues. You need tiered pricing based on company size, formula calculations based on revenue or employees, different billing cycles for different member types, and proration for mid-year joins. Spreadsheets and manual calculations lead to errors and member frustration.

Manual Calculations
Staff calculating prorated dues by hand for every mid-year applicant
Flat-Rate Limitations
Software that only supports one price per member type, not tiered or variable rates
Billing Cycle Chaos
Tracking which members renew on their anniversary vs. a fixed date

i4a was built for associations with complex dues structures. Configure unlimited member types, each with its own pricing model, billing cycle, and renewal rules.

What i4a Handles

Dues based on revenue, employees, or custom formulas
Tiered pricing with automatic rate selection
Automatic proration for mid-cycle joins
Multi-year discounts (2-year, 3-year rates)
Anniversary or fixed-date billing per member type
Automated late fee assessment
Membership Models

Organizational and Individual Memberships

Support both models in the same database with different dues structures for each

Organizational Memberships

The company is the member. Multiple employees get benefits under one membership.

  • Dues based on company metrics: Revenue, employee count, budget, or custom data
  • Tiered pricing: Small, medium, large company rates
  • Multiple contacts: Control how many individuals per organization
  • Primary billing contact: Invoices go to the right person
  • Organization-level data: Company fields separate from individual contacts

Individual Memberships

The person is the member. They join and pay independently.

  • Category-based pricing: Student, Professional, Retired, Fellow rates
  • Career stage transitions: Student upgrades to Professional at renewal
  • Lifetime memberships: One-time payment, never expires
  • Employer associations: Link individuals to their companies for reporting
  • Multi-year discounts: Save when committing to 2 or 3 years
Billing Flexibility

Anniversary vs. Fixed-Date Billing

Configure each member type with the billing cycle that makes sense

Anniversary Billing

Members renew on the anniversary of their join date. A member who joins March 15 renews every March 15.

  • Spreads renewal workload throughout the year
  • Members always get a full year of benefits
  • No proration needed at sign-up
  • Ideal for individual memberships

Fixed-Date Billing

All members of a type renew on the same date, regardless of when they joined (e.g., January 1 or July 1).

  • Aligns with fiscal year or budget cycles
  • Simplifies board reporting
  • Often uses proration for mid-year joins
  • Common for organizational memberships
Dues Calculation

How i4a Calculates Membership Dues

From simple flat rates to complex formulas based on member data

Fixed Amount

Simple flat-rate dues. Professional members pay $250/year. Student members pay $50/year. Each member type has its own rate.

Tiered Rates

Dues vary by a data point like company size. 1-10 employees: $500. 11-50: $1,000. 51-200: $2,500. 201+: $5,000.

Formula-Based

Calculate dues using member data fields. Example: (Annual Revenue x 0.001) with a $500 minimum and $10,000 cap.

Multi-Year Rates

Offer discounts for longer commitments. 1-year: $300. 2-year: $550 (save $50). 3-year: $750 (save $150).

Lifetime Memberships

One-time payment for permanent membership. No renewal required. Member status never expires.

Prorated Dues

Automatically calculate partial-year dues for mid-cycle joins. Join in July, pay 50% for a December renewal cycle.

Renewal Automation

Late Fees, Grace Periods, and Automated Collection

Set rules once and let the system enforce them. Late fees are assessed automatically. Grace periods keep member access during the renewal window. Auto-pay charges stored cards on renewal date.

Automated Late Fees
Add a flat fee or percentage after a set number of days past expiration
Grace Period Management
Keep member portal access for 30, 60, or 90 days while they complete renewal
Automated Dues Collection
Auto-charge saved payment methods on renewal date (members opt in)
Installment Payments
Allow members to spread dues over monthly payments
